Purposes and legal bases of data processing
a) Registration for the event
For the organisation and implementation of the 75th anniversary celebration, BEULCO GmbH & Co. KG processes the personal data you provide (e.g. name, contact details) on the basis of Art. 6 para. 1 lit. b GDPR (fulfilment of a contract or pre-contractual measures).
b) Creation and use of photo and video recordings
During the event, photo and video recordings (including sound recordings, if applicable) are made by authorised employees and by representatives of the press who are present. These recordings are processed for the purposes of:
- Public relations and external presentation of the company
- Reporting in local print and online media (e.g. newspaper, TV, radio)
- Publication in the company's social media channels (Facebook, YouTube, Instagram, LinkedIn, etc.)
- Archiving in the company chronicle to document the company's history
The processing of image and video data is based on Art. 6 para. 1 lit. f GDPR (legitimate interest in the external presentation and documentation of the company event). If consent is required, this will be obtained separately (e.g. for close-ups or interviews).
c) Name badges
Name badges will be provided to all guests on the day of the event. These are created on the basis of Art. 6 para. 1 lit. f GDPR (legitimate interest in the orderly organisation of the event and networking opportunities).
Recipients of the data
- Internal employees of the company (e.g. marketing department/data protection team)
- External service providers (e.g. photographers, event agencies)
- Press representatives, insofar as they report as part of their journalistic activities
- Social media platforms and online media, insofar as content is published there
Storage period
Personal data is only stored for as long as it is required for the respective purposes:
- Registration data will be deleted no later than 3 months after the event, provided there are no statutory retention obligations to the contrary.
- Photographs and video recordings may be archived long-term as part of the company history, unless an objection is lodged.
Rights of data subjects
As a data subject, you have the following rights under the GDPR
- Information about the personal data stored about you (Art. 15 GDPR)
- Correction of incorrect data (Art. 16 GDPR)
- Erasure of the data (Art. 17 GDPR), insofar as this does not conflict with any statutory retention obligations
- Restriction of processing (Art. 18 GDPR)
- Objection to the processing of your data, in particular in connection with photo, audio and video recordings (Art. 21 GDPR)
An objection to the use of photo, audio and video recordings can be made directly on the day of the event or subsequently by e-mail to datenschutz@beulco.de.
